Volunteer!
Other than the paid coaching staff, the management and operations of the Downs Devilrays are run completely by the volunteer efforts of participant families. It is critical that all parents and guardians of swimmers contribute to the team’s efficient operations and our planned fun activities. Remember, “It takes a village” to raise a child and to make a successful swim team!

DESCRIPTIONS
Team Management & Handbook: The team manager oversees all volunteers, communicates on behalf of the team, and acts as a representative to the Downs Board. They convene all core planning meetings, work with the treasurer to develop annual budget and ensure financial accountability, send out reminders of events and ensure adequate volunteers for all meets, writes articles for Downs newsletter, and leads the hiring and supervision of coaches.
Team Registrar: The Team Registrar collects and processes all team registrations and then enrolls all team members in the AAU swimming program which provides participation insurance for all swimmers.
Tech Rep: The Tech Rep works with the Head Coach to enter swimmers in swim meets. The Tech Rep and his/her assistants work to enter all competition times into the computer during swim meets creating an official record of the meet.
Swim Meet Concessions Team: The concessions team works with the concessions manager to prepare and sell all food sold during home swim meets. They also assist the manager in set up and clean up.
Summer Fest Planning Committee (July 19): The planning committee works with the SF coordinator to plan and implement all aspects of our end of year banquet. They work with the coaches to identify and purchase team awards, set up and execute games, order food, and set up and clean up the event.
Swim-a-Thon Planning Committee (TBD): We need a Swim a Thon coordinator and a planning committee. The coordinator will communicate and promote the event, organize the neighborhood lemonade stand, prepare pledge sheets, work with the head coach to implement the event including keeping track of swimmer laps, and collect all pledge sheets and donations. All donations are then divided up and presented to the charities and a report to the Team manager for inclusion in the board report is made.
Team Merchandise Sales: The team sells t-shirts to adults and interested non-swimmers and the committee works with the Merchandise coordinator to place orders and disseminate purchased gear.
Pep Rallies (Grill, Set up, Clean Up, Activities): The Pep Rally grillers will work with the coordinator to purchase and grill meats for all Friday night pep rallies. They must be available by 5pm on the Friday night they are assigned to grill. Set-up needs to report by 5:30pm and clean-up must stay until the end and all trash is bagged and stored.
Swim Meet: Pool Set Up (Friday night 7:30-8:00pm and 7:15-7:45 am for home meets): Assist in putting backstroke flags, removing ladders, hooking up lane lines, setting up benches and chairs, etc.
Swim Meet: After Meet Clean Up and Tear Down (after home meets only): Pick up all trash and bag. Make sure all swim meet supplies are put away and pool is restored to normal condition.
Swim Meet: Clerk of Course (Home meets): The Clerk oversees the line up of all swimmers. Their primary job is to ensure that the kids are in the right lane during the right event at the right time. They report to the Starter.
Swim Meet: Lane Organizers (2) and Kid Finders (2) (Home and Away): The Lane Organizer works with the Clerk to make sure that all kids are in the right position in the staging area. Kid Finders work to make sure all kids report on time.
Swim Meet: Timers: Timers check to make sure swimmers are reporting as listed in the program. They record the swimmers official time. Work with the starter and other timers to ensure accurate timing of swimmers events.
Swim Meet: Sheet Runner (Home only): The Sheet Runner picks up all timing sheets from every lane and the disqualification sheets from the lead official and delivers them to the tech rep.
Swim Meet: Sharpie Shark: The Sharpie Shark write event details (Event #/Heat #/Lane#) on swimmer's hands.
Swim Meet: Starter (Home) (GASL Certification required.) The Starter acts as the coordinator of the meet by making all informal and formal meet announcements. They ensure that the meet progresses according to the league rules.
Swim Meet: Ribbons: The Ribbon volunteers work with the Tech Rep to apply all award stickers to the back of the ribbons earned in competition. Ribbon volunteers work the second half of home meets until all ribbons are complete.
Swim Meet: Head Official (GASL Certification required. USA Cert Preferred.) The Head Official ensures that the meet is conducted according to league rules. They review and sign off on all DQ slips with S & T judges.
Swim Meets: Stroke and Turn Judges (GASL Certification required.) The S & T Judges watch all swimmers to ensure that they legally perform the strokes. If the swimmer is in err, the S & T Judge completes a DQ slip and provides feedback.
Swim Team Photographer: The Photographer is present at meets and takes pictures (action and social) to share with team members via a shuttlerfly account. They also arrange the team picture and getting prints made for Summerfest.
Lemonade Stand (Bakers and Sales): The Lemonade stand volunteers work with the Summerfest Committee to host a lemonade stand to raise money for our charities. This is held the same day as the Swim-A-Thon (TBD).
